Changes to Microsoft’s Business Premium Grant
🛑 Microsoft Licensing Changes Are Coming – Is Your Nonprofit Ready?
Starting July 1, 2025, Microsoft is retiring its Business Premium and Office 365 E1 grants for eligible nonprofits. While some discounts and free licenses will still be available, the transition isn’t automatic – and inaction could result in disrupted services or permanent data loss.
At R12 Consulting, we want to make sure our nonprofit clients are prepared, informed, and protected.
Here's What You Need to Know
✅ What’s Changing
Grant licenses are ending – nonprofits will no longer receive free Business Premium or O365 E1 licenses.
Microsoft will continue offering:
Up to 300 free Business Basic licenses
Discounts up to 75% on Premium and E1 licenses
Annual commitments are now the standard – monthly plans are no longer available.
Microsoft won’t auto-transition licenses – your team must take action manually through the 365 Admin Center.
🚨 Why This Matters
Downgrading from Business Premium to Business Basic may save costs, but you’ll lose critical tools and security features, including:
Desktop Office apps (Word, Excel, PowerPoint)
Microsoft Defender, Intune, and advanced compliance features
Power Apps, Automate, and more from the Power Platform
Stream (used to store Teams meeting recordings)
User provisioning, password resets, SSO sync
These features are often essential for nonprofits handling sensitive data or working in distributed teams.
🎯 What You Should Do
Audit your current licenses – determine who truly needs advanced features.
Create a transition plan – mix and match license types as needed.
Act before your renewal date – licenses must be manually swapped, or your data may expire within 90 days.
Back up important data – particularly Teams recordings and any stored in Stream.
